Call forwarding setup for auto shop phones

Any answering option, whether it's a person, a service or an AI receptionist, depends on one thing working: your calls actually getting forwarded. This guide covers the three kinds of forwarding, how to set them up on the phone systems shops actually use, and how to test before you trust it.

You do not need to change your shop's number. Your customers keep calling the number on your sign, your Google listing and your invoices.

The three kinds of forwarding

1. Unconditional (always) forwarding. Every call goes straight to the forwarding number. Use this after hours or on days you're closed.

2. No-answer (conditional) forwarding. The call rings at the shop first. If nobody answers in a set number of rings, it forwards. This is the best fit for overflow during the day: your team gets first shot, and nothing goes to voicemail.

3. Busy forwarding. If the line is already in use, the next caller is forwarded instead of hearing a busy signal or voicemail.

Most shops want no-answer + busy forwarding during the day, and unconditional forwarding after close.

Before you start

Write down:

  • Your shop's main number
  • Your phone carrier (for example a cable company business line, a VoIP provider, or a cell carrier)
  • Whether you have a desk phone system with an admin portal
  • The number you are forwarding to (your BayAnswer number is in your welcome email)

Setup by phone type

Exact menus change, so treat these as the general path and check your carrier's help page for the current steps.

Traditional landline or cable business line

Most carriers use star codes. Common examples in the US:

  • *72 + number: turn on unconditional forwarding. Wait for the forwarded number to ring, or follow the tone.
  • *73: turn off unconditional forwarding.
  • No-answer and busy forwarding often need to be turned on by the carrier, or through their online portal. Call business support and ask for "call forward no answer" and "call forward busy."

Star codes vary by carrier and region, so confirm with yours.

VoIP phone systems (hosted PBX)

Most VoIP systems have a web admin portal. Look for a section called Call Handling, Call Routing, Ring Groups, Call Flow or Answering Rules. You'll usually find:

  • A schedule (business hours vs after hours)
  • What happens when nobody answers after X seconds
  • What happens when busy

Set:

  • Business hours: ring the shop phones for about 20 seconds (4 to 5 rings), then forward to your BayAnswer number.
  • After hours: forward immediately to your BayAnswer number.

Save, then test (see below).

Cell phone as the shop line

If the shop number is a cell:

  • iPhone: Settings > Phone > Call Forwarding turns on unconditional forwarding. Conditional (no-answer) forwarding is set through carrier codes or the carrier's app.
  • Android: Phone app > Settings > Calls / Supplementary services > Call forwarding, where you can often choose always, when busy, when unanswered and when unreachable.

Carrier codes for conditional forwarding differ by carrier. Search your carrier's help center for "conditional call forwarding."

Shop management software with built-in phones

Some shop software bundles phone or texting tools. Check its phone settings for a forwarding or overflow rule first. If it doesn't support it, forward at the carrier level instead.

Recommended setup for most shops

Time Rule
Open hours Ring shop 20 sec, then forward on no-answer and on busy
Lunch (optional) Same as open hours, or unconditional if nobody's at the desk
After close, weekends, holidays Unconditional forwarding

If your carrier doesn't support schedules, you can switch unconditional forwarding on at close and off at open with the star codes. It's a two-second habit. Put a sticky note by the phone.

How to test it (do not skip this)

  1. From a cell phone that is not on the shop account, call the shop during open hours and let it ring. Confirm it forwards after the ring count you set.
  2. Call while the line is busy: have someone on the shop phone, call from a second phone. Confirm it forwards.
  3. Call after close. Confirm it forwards immediately.
  4. Check caller ID. The receiving side should see the original caller's number, not your shop's number. If it shows your shop's number, ask the carrier to "pass through original caller ID."
  5. Check the summary. With BayAnswer, you should get a text with the caller's name, number, vehicle and reason within a minute or so of the call ending.

Common problems

  • Calls still go to voicemail. Voicemail is picking up before forwarding triggers. Shorten the ring time on voicemail or turn voicemail off on that line.
  • Forwarding works from some phones but not others. You may have forwarding on one line of a multi-line hunt group only. Apply it to the main number or the group.
  • Long-distance or forwarding charges. Some older plans charge for forwarded minutes. Ask your carrier.
  • You can't find the setting. Call carrier support and say: "I need call forward no-answer and call forward busy to an outside number, plus after-hours unconditional forwarding." That sentence gets you to the right person.

What your customers experience

When forwarding is set up right, the customer dials your normal number, it rings like normal, and someone (or something) answers with your shop's name. They don't hear a transfer, and they don't know it forwarded.
